Purpose
Our raffles are conducted to raise funds in a way that is fair, transparent, and free from undue influence. Everyone should have equal confidence in the outcome.
Eligibility to Participate
No group will receive preferential access to tickets or pricing. Raffle tickets may be purchased by:
- Members of the public
- Charity staff, Trustees and volunteers
- Friends and family of the above
Separation of Duties
To avoid conflicts of interest, anyone involved in organising or drawing raffle tickets will not be able to purchase tickets or handle ticket allocation in a way that could influence outcomes. Wherever possible at least two unrelated individuals will oversee key stages (ticket handling, draw, prize allocation).
Ticket Sales Controls
Tickets for all raffles will be sequentially numbered and sold at a fixed, publicly stated price.
A record will be kept of ticket numbers sold and unsold tickets will be clearly accounted for and excluded from the draw.
Transparent Draw Process
Raffle draws will be conducted at a pre-advertised time and date and held in a public or observable setting (in person or livestream if appropriate). The method will be random, for example:
- Physical draw from a container with all ticket stubs mixed thoroughly
- Verified digital randomiser (if used, the method is explained in advance)
Conflict of Interest Management
Staff and trustees may participate, but they must not influence the draw process. If a trustee or member of staff wins, the process must be demonstrably fair and properly documented.
Documentation & Audit Trail
Clear records will be kept of:
- Ticket sales
- Total funds raised
- Draw procedure
- Winners and prizes awarded
Communication & Transparency
We will publish or make available information about how our raffles work, ticket prices and prizes and draw methods. After any draw we will announce winners publicly (with consent where required).
Compliance with Law
We will ensure that all raffles comply with applicable regulations (e.g. small society lotteries rules in the UK).
Handling Complaints
Complaints will be dealt with via our Complaints Procedure which can be found on our website.
